I. Planning Stage
1. First Meeting (Meeting during contract signing)
· Status of the client’s suppliers (booked suppliers, needed suppliers, etc.) and review of signed contracts
· Discuss the option of RSVP
· Set date for ocular* inspection for church and reception
· Discuss misalette, wedding programs and other templates
· Recommend suppliers that suits the budget and need of the couple
2. Second Meeting (1 month before)
· Status of the client’s suppliers
· Discuss details of the ceremony (list of church songs, processional line up, etc.)
· Discuss responsibilities of bridal entourage, offertory, and recessional participants
· Discuss photo sequence at the ceremony
· Discuss client’s preference in the ceremony and reception
3. Third Meeting (1 week before)
· Discuss time table for the wedding day
· Finalized the following:
a. List of church songs
b. List of reception songs
c. Processional line up
d. Lectors, offertory, and recessional participants
· Discuss wedding reception program
· Discuss floor layout, table numbers, decorations - presidential and bridal couple’s table decor
· Discuss clients preference in the ceremony and reception
· Provide client packing checklist
4. Unlimited Phone, SMS and E-mail support
CBC Events shall:
· Visit ceremony and reception sites with the couple
· Prepare wedding day time table for the bride, groom, their families, entourage, all suppliers and
church participants
· Preparation of wedding program in collaboration with the couple
· Discuss wedding program and schedule with Host/Emcee
· Confirm contract details with all suppliers 1 week and 1 day before the wedding.
· Contact entourage by e-mail or phone to discuss responsibilities, itinerary and schedule.
· Prepare and distribute individual responsibility cards, itinerary and timetable of entourage
* Ocular for church & venues within Metro Manila is Free of Charge. Transportation expenses for Ocular outside metro manila shall be reimbursed by the client.
II. On the Wedding Day
1. Preparation. Two (2) Coordinators will arrive at the wedding preparation venue five (5) hours before the ceremony time.
CBC Events shall perform the following:
· Check on the arrival of Hair and Make-up Stylist
· Remind suppliers (florist, video, photo) on arrival at the preparation venue
· Receive and distribute flowers
· Check on wedding gown & all bridal items & accessories/special effects (such as butterfly, petals, confetti,)
· Check materials needed for the church and reception (rings, giveaways, etc.)
· Remind entourage and church participants on timely arrival at the church
· Coordinate with appointed person the payment of balance for the suppliers
· Arrange food for the couple, family, suppliers, etc.
· Check on the arrival of the videographer and photographer
· Assist in the arranging of paraphernalia for photo and video shoot
· Assist in family and entourage pictorial before departure to church
· Assist bride and entourage in their gown and make-up
· Check groom’s preparation (if groom’s preparation venue is the same as the bride’s)
· Collect all needed materials to be brought in the reception and church
· Check departure of the groom (if groom’s preparation venue is the same as the bride’s)
· Call driver of the bridal car for departure to the church
· Check timely departure of the bride at the hotel
2. Ceremony. One (1) Coordinator will arrive at the wedding ceremony venue, one (1) hour before the ceremony.
CBC Events shall perform the following:
· Check church decorations / flowers, sound system, couple and parent’s seats
· Prepare offertory items on the offertory table
· Check arrival of musicians
· Receive doves from caterer to be placed near the entrance of the church, if needed
· Check arrival of Officiant
· Check arrival of entourage and church participants
· Distribute flowers, matches, veil, cord and pillows with arrhae and ring to the entourage
· Brief Lectors and Offertory participants
· Assist in organizing processional line-up for the sponsors and entourage
· Distribute Misalletes and other church giveaways (ie, fans)
· Usher sponsors and entourage to their seats
· Assist musicians on the sequence of songs
· Assist Bride in her processional (fixing of veil, train, make up, etc.)
· Assist coin, bible and ring bearers
· Assist orderly photo and video shoot
· Manage the Recessional
· Organize well wishers at the door of the church
· Assist in the release of doves or other special effects (poppers, petals, confetti etc)
· Assist in the Bouquet toss (if will be performed outside the church)
· Cue Bridal car for departure to the reception venue
· Retrieval of Wedding Paraphernalia and Accessories
3. Reception. One (1) Coordinator will arrive at the wedding reception venue three (3) hours before the wedding reception.
CBC Events shall perform the following:
· Check the souvenirs at the reception venue
· Check reception venue layout, decorations and couple’s table, presidential table, gift table, sound
system, audio visual equipment, dance floor, etc.
· Check on the seating plan, place cards, table numbers, and chair counts
· Set-up receiving line materials and displays
· Check flower center pieces, decorations, etc.
· Check cake and cake display table. Check food on buffet table
· Meet and coordinate with Head Waiter and Banquet Sales Representatives.
· Gather gifts for the sponsors and entourage in a secured place for ready distribution.
· Check materials and paraphernalia for the activities: wine, wine glasses, cake cutter, fork etc.
· Coordinate with Musicians, Host/Emcee, Mobile and Sound System Personnel
· Test run the AVP and ensure that it is played by Technician
· Manage the flow of guests in accordance to seating plan
· Usher guests to their table assignment
· Ensure security, numbering and recording of gifts
· Arrange reception line up of the bridal party for the entrance and announcement · Management flow and timing of program, working closely with Host/Emcee
· Assist musicians on the sequence of songs
· Assist on the presentation of bridal couple
· Inform waiter on the cake cutting and distribution of wine to guests for the toast
· Ensure service of food and beverage, working closely with the reception staff
· Usher guests to pictorial and buffet table
· Schedule break for supplier
· Prepare entourage gifts for distribution
· Assist in the Games (if applicable)
· Assist in the payment of balances to remaining suppliers
· Handle the wrapping of left-over food, cake, unused bottles of wine and other items as requested by the client
· Collect all reception materials and endorse them to the authorized person assigned by the couple
· Submit all receipts either to the couple or to the authorized person
PACKAGE COST: FOURTEEN THOUSAND PESOS (PHP 14,000.00)
Maximum of 200 guests.
Four coordinators present
Additional P1,000 for every additional 50 guests or a fraction thereof
Client shall provide meals for our team of coordinators on the wedding day.
If the event is organized outside Metro Manila, an additional fee will be charged; the client shall likewise shoulder the applicable air fare and accommodation that will be incurred by CBC EVENTS in performing the duties expressed above.

50% Non-refundable and non transferable Down Payment, payable upon contract signing
50% Balance to be paid on the day of the event
